The School Operations Manager (SOM) acts as the point person for all non-academic issues at the school level. The SOM is actively engaged in a broad range of activities to ensure that operations run smoothly and the school delivers a welcoming environment for students, staff, and families. On a daily basis, the SOM acts both as a manager, working with the office staff to ensure successful execution of all daily tasks, and as a hands-on leader participating in the daily functioning of the school. Areas of oversight include school security, facilities maintenance, food service, transportation, attendance and student data, and school office management. The DSO is a member of the school leadership team.
- Bachelor’s Degree required, preferably in a business or related field. Advanced degree in business or education administration or related field is desirable.
- Minimum of 3-5 years of relevant experience in education (preferred), nonprofit, or similar field required. Management and operating experience is desirable.

ESSENTIAL DUTIES & RESPONSIBILITIES |
Office Management
- Leads and motivates office staff to deliver a positive and welcoming experience for all students, staff, and visitors coming into the office.
- Works with the DSO and school principal to set priorities for office tasks and works with the office team to effectively triage work to complete all tasks; develops checklists, schedules, process charts and other tools to support the efficient completion of office work.
- Ensures that, under the direction of the DSO, student data and other records are maintained in compliance with all applicable contract requirements, laws, and regulations.
- Provide direction to and oversight of office staff, ensuring that all staff complete assigned daily and weekly tasks effectively; coordinate and assign tasks to maintain a healthy balance among staff.
- Maintains regular dashboards to ensure that key performance indicators are met.
- Troubleshoots challenges and implements strategies to address any ongoing issues or concerns.
- Ensures the office is prepared for the start of the year, conferences, and other major events.
School Administration
- Acts as a member of the school leadership team, participating in planning and decision-making related to all school level decisions.
- Prepares and shares updates on operational issues with school-based staff through presentations, e-blasts, and one-on-one communication.
- Coordinates all aspects of school activities and events:
- Maintains the school events and activities calendar and ensures that all parties are informed in a timely manner of any upcoming events and school activities (including families);
- Secures needed resources (including both materials and staff support) and manages all logistics, communication, set-up, and other preparation for school events.
- Maintains after-school activity calendars and ensures smooth operation of after-school activities.
- Oversees financial activities at the school level:
- Oversees collection of fees;
- Completes deposits and ensures records are maintained in compliance with Carmen policies;
- Maintains budgets and records for all school fundraisers;
- Processes staff reimbursement requests;
- Oversees execution of network policies for processing of checks and other incoming funds.
- Manages school-level supplies and materials procurement:
- Coordinates chrome cart usage and maintains Chromebook inventory;
- Acts as the point person for all school staff ordering needs; completes orders under the direction of the DSO;
- Tracks purchases, deliveries, and ensures that all new materials and equipment are inventoried and distributed in a timely manner.
- Maintains inventories of furniture, equipment, and supplies. Identifies needs and works with the DSO to develop budgets and plans for beginning of year purchasing.
- Oversees and coordinates both building maintenance and usage:
- In consultation with the school leadership team, develops schedules for room assignments and bell schedules.
- If applicable, coordinates usage of shared space with other schools housed within the building.
- Oversees security personnel and overall building security; provides recommendations to DSO on needed improvements; develops policies and procedures to improve security.
- Oversees facilities maintenance to ensure that school standards for cleanliness are maintained; works with on-site maintenance contractors to address any issues and coordinate schedules.
- Oversees site-based food service, transportation, and other vendors in collaboration with the DSO.
- Acts as the primary point person for other network functions:
- Meets regularly with the athletic director to plan for upcoming athletic events;
- Meets regularly with the school admissions coordinator to review progress against goals, transfers in/out, and coordinate enrollment activities;
- Works with the IT department to address any IT needs and gather and share information about any upcoming system or equipment changes; and,
- Provides a first line of defense for benefits and HR questions; provides support to human resources with the collection of new hire paperwork, benefits information, and other needs.
- Maintains staff lists, records, and supports the principal with securing needed staffing:
- Supports the principal in securing substitutes as needed;
- Acts as the point person for all hourly and contract staff assigned to the school; receives and confirms timesheets and invoices;
- Tracks staff attendance and usage of vacation, sick and personal time for all school-based staff; and,
- Tracks staff licensing information and works with the principal to address any issues with licensure compliance.
- Coordinates the transfer in/out process for new students.
The SOM is based at the school on a daily basis. The office environment is fast-paced and often requires standing for long periods, moving throughout the building, and lifting and stacking boxes. Minimal travel is required; however, the SOM will be required to make weekly trips to the local bank to make deposits in their own vehicle. Occasionally, the SOM will travel to other Carmen schools for meetings. Occasional evening and weekend work is required
